Billboard Lease Management Software: Options (2026)

By Gabie Research · Updated Oct 16, 2026 · 8 min read

Short answer

Billboard lease management software tracks each ground lease: its term, rent, escalators, revenue share, renewal dates and what you owe the landowner. Billboard back-office systems such as Apparatix and BillboardPlanet list lease tools. Gabie keeps the land lease on the structure record but does not pay landowners. Spreadsheets and accounting software fill the rest.

  • A ground lease is a deadline. When it ends, the board's income ends.
  • A 10% escalator that compounds can nearly double rent. Seven 10% raises take $1,000 a month to about $1,950.
  • BillboardPlanet's Quantum is described as calculating landlord payments, including fixed rent, revenue shares and mixes.
  • Gabie tracks the land lease on each structure and reads lease documents on import. It does not process lease payments.
  • Apparatix, BillboardPlanet and Wiz do not post prices.

Billboard lease management software tracks each ground lease under your boards. It records the term, the rent, any escalators, any revenue share, the renewal dates and what you owe the landowner. A few billboard back-office systems list lease tools. Many small operators use a spreadsheet and their accounting software instead.

What does lease tracking take?

A ground lease is a deadline. If it ends, the board's income ends too. So the first job is dates. The second is money. The third is to keep leases tied to the bookings that depend on them.

Why do renewal dates come first?

A renewal date is the cheapest thing to track and the costliest to miss. Put the end date and the notice date on the structure. Add a reminder well ahead of each. See billboard renewals for the advertiser side.

What is the escalator trap?

An escalator is a rise in rent. Many leases have one. It is easy to forget, because it hides in the renewal terms. In an April 2026 Billboard Insider interview, Mike Falick gave an example. Say a lease pays $1,000 a month and has a 10% escalator. By the end of the second renewal term, he said, rent nears $2,000 a month. That happens when the raise compounds: seven 10% raises take $1,000 to about $1,950. He suggests writing an exact dollar amount into each renewal. Your tracker should store that amount and the date it starts.

How do you track revenue share?

A revenue share ties rent to what the board earns. You need the revenue for that board and the share in the lease. Then you owe the landowner a set percent, with a statement. Software can do this only if the sales data sits on the same structure as the lease. For rent levels and the three main lease types, read our billboard lease rates guide.

What belongs in the recorded memo?

Many operators record a short memorandum of lease instead of the whole lease. Marnie Cody writes that it should have a clear description of the land and the two parties. It should also give the term with its start date. And it should list any right to extend or renew (Billboard Insider). Store a copy with the lease record. This is a summary, not legal advice. Check with a lawyer before you sign.

What are your options?

No tool is only for billboard leases. Lease tools come inside larger systems, or you assemble them yourself.

Billboard back-office systems

Both Apparatix and BillboardPlanet appear in a December 2020 reader question as tools that help manage lease payment timing, lease terms and lease limits. The same reader knew of no software built for the development side of the business, such as finding and signing new sites. Billboard Insider's January 2026 vendor list groups Apparatix, BillboardPlanet and SignDash as management software for billing and tracking leases.

Apparatix. An April 2016 article lists lease management as one of its modules. Its CRM page says data moves from lead to proposal, booking and lease payments. Its 2025 review says summer updates added real estate tools that give a fuller view of financials. It gives no detail on escalators or revenue shares. Ask for a demo on your own leases.

BillboardPlanet Quantum. The Quantum page says inventory holds specs, maps, photos, demographics and lease details. A December 2022 interview with a BillboardPlanet executive says Quantum tracks upcoming renewals and terminations. It also says it stores site access and limits, and calculates what is owed to each landlord, including fixed fees, revenue shares and mixes. That article is a vendor interview and is nearly four years old, so confirm each point today.

SignDash. Billboard Insider's list puts SignDash in the same group. Its own page does not mention leases. Ask what it tracks before you count on it.

Wiz

Wiz lets you attach costs such as land leases to specific billboards. It uses them for margin analysis, and handles lease billing. Its footer lists Wiz Asia Sdn Bhd, and the page does not name the markets it serves. It lists no prices.

Spreadsheets, calendars and accounting software

Many small operators run on a sheet. Give each structure one row. Add columns for the end date, the notice date, the rent, the next escalator date and the landowner. Set a calendar alert months ahead of each notice date. In the 2024 Billboard Insider poll, QuickBooks was one of the top three answers. The same article describes Wave as a free accounting option, and Caspio as a custom database a billboard company can shape to its needs. Accounting tools pay and book the rent. They do not know your lease terms.

Software made for apartment rentals tracks a tenant who pays you. A billboard lease runs the other way. You pay the landowner. That is why those tools fit poorly.

Services for landowners

SignValue is a firm that manages billboard leases for landowners. It covers on-time rent, receivables, percentage rent audits and deadline tracking. It serves the landowner side, so it does not replace an operator's tracker. It lists no price.

How do you load your leases into a tool?

Do this once, and do it with care.

  1. Gather every lease, amendment and memo in one folder. Amendments change rent and dates, so file them with the lease.
  2. Pick the fields you need, using the table above.
  3. Enter or import them, and check each date twice.
  4. Link each lease to its structure.
  5. Set reminders for every notice date.

Start with your biggest sites and your oldest leases.

What should happen when a lease changes?

When a lease is renewed or ends, update the end date on the structure at once. Then check every booking on that structure. A flight that now runs past the end date must be shortened, or the lease renewed first. A tracker that links the two makes this a one-minute check. A sheet makes it a search through old emails.

What should you ask a lease software vendor?

Bring three of your real leases to the demo. Then ask:

  1. Can I enter fixed rent, a revenue share, or both on one lease?
  2. Does it calculate each escalator, or do I enter every amount?
  3. Does it warn me before a notice date, and how far ahead?
  4. Does it link to bookings, so no flight runs past the lease?
  5. Can it read my lease documents, or must I type every field?
  6. Does it pay landowners, or export bills to my accounting software?
  7. Can a landowner see anything, or does all contact go through me?
  8. Can I export every lease record if I leave?

How do you choose?

Match the tool to the size of the problem.

  • A few sites. A sheet with calendar alerts can work. Name one owner.
  • Many sites, rent in several forms. Look at a back-office system that lists landlord payments.
  • Lease dates are the risk. You need a tracker linked to bookings. Look at Gabie or a back office.
  • Landowners are the main contact. Ask who handles their payments and questions.

Pick one system to own lease dates. If two systems hold them, one will be wrong.

Questions people ask

What is billboard lease management software?

It is software that tracks the ground leases under your billboards. It records terms, rent, escalators, revenue share, renewal dates and what you owe each landowner.

Does Apparatix manage billboard leases?

A 2016 Billboard Insider article lists lease management among its modules, and its CRM page links the sale to lease payments. It posts no details on escalators or percentage rent, so ask in a demo.

Can Gabie pay my landowners?

No. Gabie keeps the land lease and permit on each structure's record and reads lease documents you import. It does not process lease payments, calculate escalators or give landowners a portal.

Can I track billboard leases in a spreadsheet?

Yes, for a few sites. Record the end date, the notice date, the rent and each escalator date. Add calendar reminders. It breaks down when nobody owns the sheet.

Is there software for landowners?

SignValue offers a lease management service for landowners. It covers on-time rent, receivables, percentage rent audits and deadline tracking. It is a service, and it posts no prices.
