Best Billboard Software for Operators (2026)

By Gabie Research · Updated Oct 16, 2026 · 8 min read

Short answer

There is no one best billboard software. Plan on two or three tools. For the back office (billing, leases, posting), Apparatix and BillboardPlanet lead. For selling, look at Gabie, SignDash or AdQuick. For digital screens, Broadsign or your sign maker's software runs the loop. Blip and AdQuick bring outside buyers. Few vendors publish prices. Gabie, HubSpot and Salesforce do.

  • In a 2024 Billboard Insider poll, readers named QuickBooks, Apparatix and BillboardPlanet as their top tools.
  • Apparatix says it has 400+ operators, including half of the top 20 independent OOH companies.
  • Most billboard software has no public price. Gabie, HubSpot, Salesforce and QuickBooks publish theirs.
  • Digital boards need a content system to play the loop, such as Broadsign or the sign maker's own software.
  • Pick by your biggest pain: empty faces, paperwork, or unsold digital time.

Back office: inventory, leases and billing

Back-office tools run the business you already have. They track contracts, posting, leases and the bills.

Apparatix

Apparatix is one of the most-used OOH back offices, per the 2024 poll. Its homepage says it serves 400+ operators. It also says it works with half of the top 20 independent OOH companies. Its operations tools cover mobile work orders, digital charting and automated proof of performance. In 2025 it rebuilt its CRM and its e-sign tool. It also added real estate tools and AI Sales Profiles, per its 2025 review.

  • Best for: independents whose hard problem is paperwork, billing and leases.
  • Watch for: no public price, and no self-serve signup. You start with a demo.

BillboardPlanet Quantum

BillboardPlanet has been in OOH software for more than 20 years. Its Quantum product covers inventory, CRM, quotes, contracts, print and install work orders and proof of performance. It links to accounting systems and offers Power BI reports as an add-on. A sister product, Equinox, is for agencies. Since 2025, Quantum users can also send digital faces to Blip's marketplace, per Billboard Insider.

  • Best for: owners who want one system from quote to install to accounting.
  • Watch for: prices are not published.

The Siroky Group Quattro

Quattro is a back-office system from The Siroky Group. Readers named it in the 2024 Billboard Insider poll. Ask the vendor for a current demo and price.

QuickBooks and spreadsheets

Some small owners run on a spreadsheet plus QuickBooks. In the 2024 Billboard Insider poll, QuickBooks was a top answer. QuickBooks Online lists plans from $38 to $340 a month. A sheet works for a few boards with long-term tenants. It breaks down when nobody can tell what's open.

Selling and CRM

Sales tools help you find, pitch and close advertisers. This is where empty faces get filled.

Gabie

Gabie is a system for billboard operators. It keeps your structures, faces, holds, bookings, leases and permits in one record. Its AI sales rep, Scout, works each open face. Scout finds local businesses near the face and checks the contact. Then it drafts a short email. By default, you approve each one. It sends from your own mailbox. Gabie also has a CRM, proposals built from live availability, and contracts that book the faces when signed.

  • Best for: owners with empty faces and few people to sell them.
  • Watch for: Gabie has no billing, invoicing, payments or e-signature. Keep QuickBooks or your back office for those.
  • Price: free up to 100 faces, then $0.25 a face a month, with everything included (Gabie).

SignDash

SignDash is sales and inventory software for independent owners. It shows open faces while you build a proposal. It emails contracts for digital signature. It has a dashboard of occupancy, renewals and tasks. There's a WordPress plugin that puts your boards and a map on your website. It offers unlimited users and serves US clients only.

  • Best for: small owners whose deals come by phone and referral.
  • Watch for: the base price is set when you sign up. Its terms add $250 a year for each extra block of 100 faces.

AdQuick

AdQuick began as a place where brands buy OOH. It now sells a full platform to operators too. Its media owner page lists inventory, holds, contracts with e-sign, proof of posting and lease reports. It also lists lead generation that finds advertisers near your units. And your boards show to buyers on its marketplace. OUTFRONT licensed its Sales Cloud in 2026 for $17.0 million a year, per its 10-Q.

  • Best for: owners who want national buyers to see their boards.
  • Watch for: pricing is on request. Read our AdQuick review.

HubSpot and Salesforce

Both are strong general CRMs. Neither knows what a face is out of the box. In HubSpot, custom records need an Enterprise plan, per its help docs. Sales Hub Enterprise starts at $150 a seat a month, plus a $3,500 onboarding fee, per HubSpot. Salesforce lists Sales Cloud from $25 to $550 per user a month. Pick these if your company already runs on one.

Digital screens and content

A digital board needs software to play the loop. It schedules each ad, sets the spot length and logs each play.

Broadsign

Broadsign is ad tech for large networks. It covers content, ad serving and a programmatic exchange. In March 2026 it said it connects nearly 2 million screens to 55+ buying platforms, per its platform update. Its plans are Standard, Professional and Enterprise. Prices are on request. It also has tools for direct sales and for static work orders and postings. It fits big networks with a team to run it. Read our Broadsign review.

Daktronics and Watchfire software

LED sign makers often ship their own software. Daktronics offers Venus Control Suite. Watchfire says its Ignite OA comes standard with every Watchfire digital billboard. If you own that maker's boards, start there.

Marketplaces where advertisers buy

Marketplaces bring buyers to you. You don't control who shows up, but the sales work is light.

  • AdQuick marketplace: brands and agencies plan across 1.6 million+ OOH units there, per AdQuick.
  • Blip: a self-serve market for digital time. Blip says it has 3,500+ digital billboards in 46 states. It charges no upfront fee and installs its own player. Blip works only with digital billboards.
  • Programmatic: Broadsign's exchange sells digital slots to ad buying platforms in real time.

What does each type of tool leave out?

Every group has a gap. Know it before you sign.

  • Back-office tools run the deals you already have. Apparatix's AI Sales Profiles brief a rep on a lead you name. Finding the lead and writing the first email is still on the rep.
  • Sales tools are light on the books. Gabie has no billing or invoices. SignDash links to QuickBooks Online for invoices, per Billboard Insider.
  • General CRMs need setup. Someone has to build faces, dates and bookings, then keep them right.
  • Marketplaces set the terms. The buyer books through them, and the buyer is theirs as much as yours.
  • Content systems play the ads. They don't find the advertiser or write the contract.

How do I choose billboard software?

Start with the job that costs you the most money.

  1. Faces sit empty. You need a tool that finds and pitches buyers. Look at Gabie or AdQuick.
  2. Paperwork eats the week. You need billing, leases and posting. Look at Apparatix or BillboardPlanet.
  3. Deals stall after the first call. You need fast proposals and e-sign. Look at SignDash or Apparatix.
  4. Digital time goes unsold. Add Blip or a programmatic exchange.

Size matters too. A small owner with 20 structures needs a tool that is quick to set up. A big operator with thousands of faces needs reports, roles and help moving over. Ask how long setup takes, and who does it.

Then ask each vendor the same questions. Our guide to billboard management software lists them.

Can I use more than one tool?

Yes. One setup is a back office for the books and a sales tool for new deals. For example, Apparatix can run billing while Gabie works the empty faces. Pick one system to own availability. Two calendars that disagree will double-book a face.

Questions people ask

What software do billboard companies use?

In a 2024 Billboard Insider poll, the top answers were QuickBooks, Apparatix and BillboardPlanet. That is an OOH system plus accounting. Digital operators add a content system, such as Broadsign or their sign maker's software.

What is the best billboard software for a small operator?

It depends on the pain. If boards sit empty, pick a sales tool like Gabie, which is free up to 100 faces. If paperwork is the pain, look at SignDash or Apparatix. A spreadsheet plus QuickBooks can work for a few boards with long-term tenants.

How much does billboard software cost?

Most OOH vendors don't publish prices and quote after a demo. Gabie is free up to 100 faces, then $0.25 a face a month. HubSpot's CRM has a free plan. SignDash charges $250 a year for each extra block of 100 faces.

Do I need different software for digital billboards?

Yes, for playing the ads. A content system schedules the loop and logs plays. Broadsign, Daktronics Venus Control Suite and Watchfire Ignite OA do this. Your sales and back-office tools sit on top.

Can one tool run my whole billboard business?

Not fully, today. Back-office tools are strongest at billing, leases and posting. Sales tools are strongest at finding and closing advertisers. You can pair one of each with accounting software.
