What do they have in common?
A lot. Both were built only for out-of-home companies. Both list a CRM, quotes, contracts, work orders and proof of performance. Both tie into accounting, though Apparatix shows that on a partner page. Both start with a demo, not a free signup. And neither posts a core price.
Both are known names. Readers named each one in a 2024 Billboard Insider poll. The trade group OAAA lists both in its Tech Locator. Both listings include CRM and media planning tags.
What is the main difference?
Apparatix leads with selling and pricing. In 2025 it rebuilt its CRM, added a new e-sign tool, and launched AI Sales Profiles. Its yield page lists a rule-based pricing engine.
BillboardPlanet leads with the whole sales cycle and its links to other systems. Its Quantum page lists Power BI reports. It also lists links to a third-party CRM and to your accounting system. Equinox is a separate product for the buyer's side.
So the question is what hurts most. If it is selling and pricing, look at Apparatix. If it is running the cycle and joining your other systems, look at BillboardPlanet.
How do the prices compare?
Neither posts a core price. You need a quote from each.
Apparatix asks you to book a demo. Its one clear rate is for AI Sales Profiles. They cost a monthly fee per user, plus about $0.70 a profile. Its e-sign tool is priced per document, with no per-user fees. A partner page lists $35 and $50 per digital display a month. It has no date. See Apparatix pricing.
BillboardPlanet posts no prices. Its Quantum page lists "Three Scalable Options" and six add-on modules. It does not name the options or price the add-ons. See BillboardPlanet pricing.
To compare fairly, ask both for a yearly price at your face count. Ask what is extra. Then add the cost of any tool you would still need on the side.
How do they compare for selling?
Apparatix rebuilt its CRM in May 2025. The new Sales Module has a faster lead entry form and pipeline swimlanes. The CRM page lists mobile access and AI prompts that help reps rank deals. AI Sales Profiles arrived in October 2025. A rep types a company name and a city. A few minutes later, the rep gets a brief. It covers brand voice, decision makers and competitors. Apparatix's CRM page says the CRM is for current Apparatix users only.
BillboardPlanet lists a CRM for contacts, from media buyers to end clients. A rep can make an availability report and send a quote that matches the client's final selection. If you already use a third-party CRM, Quantum can connect to it. It lists no AI sales tools and no pricing engine.
Apparatix has more selling tools on its pages. BillboardPlanet is built to join your sales tools to the rest.
How do they compare on the back office?
Both cover it. The detail differs.
Apparatix lists mobile and maintenance work orders, vinyl receipt tracking, warehouse inventory and automated proof of performance. Its 2025 review says new real estate tools showed a fuller financial picture.
BillboardPlanet lists print and install work orders that are made and tracked for you. It has a Warehouse Receiving app and an app to take and send proof photos. It adds Power BI reports.
Ask both to show a real work order and a real proof report from a customer's setup. Then compare.
Which is better for digital billboards?
Both list digital tools, so it is close.
Apparatix lists automated digital charting, dynamic creative, dynamic schedules and programmatic integration. Its fulfillment page also lists automated camera capture.
BillboardPlanet's Broadcast Center can feed campaigns to your digital players. It lists programmatic management from rate agreements to unit permissions. In June 2025, Billboard Insider reported that Quantum users can link digital faces to the Blip marketplace.
Either way, ask which content systems each one connects to. Your LED boards may run on a sign maker's software.
How do they compare on QuickBooks and accounting?
The Apparatix feature pages we read do not describe its accounting links. A Vantage LED page lists accounting, QuickBooks and other processes in its Essentials tier. Ask Apparatix which QuickBooks versions it supports.
BillboardPlanet names SAP and Peachtree as examples. It says Quantum works with any accounting software through an API or exports. It does not name QuickBooks. QuickBooks was one of the top three answers in Billboard Insider's 2024 poll, so ask about it.
How do size and support compare?
Apparatix says it serves 400+ operators. Its 2025 review says its team closed 7,619 support tickets that year. It also runs a yearly user event called Unleashed.
BillboardPlanet says it has more than 20 years in the industry. It also says it has over 50 developers and support staff in 5 countries. It gives no count of customers or users.
Which is easier to start with?
Neither offers a self-serve signup. Apparatix says your starting place is a demo. That demo can be a look at one tool, like the CRM. Or it can be a tour of the whole system. BillboardPlanet offers a presentation and demo, or a contact form. Both are full systems, so expect a real rollout. Ask who loads your faces and contracts, and how long it takes.
Which fits a 300-face owner?
Take an example. Riverbend Outdoor in Jackson, TN, has 300 static faces, two reps and a part-time office manager.
Riverbend wants set rates and quick briefs on new leads. Apparatix lists a pricing engine and AI Sales Profiles for that. Riverbend also uses a third-party CRM and an accounting package it likes. BillboardPlanet lists links to both.
Now say Riverbend builds 10 LED faces and wants to sell unused slots. Both list programmatic tools, and BillboardPlanet lists a Blip link. Riverbend should ask both which buyers they connect to, and what that costs.
What should you ask both vendors?
Ask both the same questions, and get the answers in writing.
- What is the yearly price for my face count and users? What is extra?
- Which modules are in the base price?
- Who loads my faces and live contracts, and how long does it take?
- Which accounting systems do you support? Do you support my QuickBooks version?
- Can I see a real work order and a real proof report?
- Can I get all my data out if I leave?
Pick Apparatix if
- You want an OOH CRM tied to your back office.
- You want rule-based pricing that follows live availability.
- You want AI briefs on leads before a rep calls.
- You want e-sign priced per document, with no per-user fees.
Pick BillboardPlanet if
- You want Power BI reports on sales and inventory.
- You use a third-party CRM and want Quantum to connect to it.
- You run your books on SAP, Peachtree or another system and want a link to it.
- You want a Blip link for digital faces from the same vendor.
What does neither one do?
Neither lists a way to find new advertisers for an open face. Apparatix's AI briefs a business the rep has already named. BillboardPlanet's Blip link adds demand for digital faces only. For static faces, someone still has to find the buyer and send the first email.
