Apparatix Pricing: What It Costs in 2026

By Gabie Research · Updated Oct 16, 2026 · 5 min read

Short answer

Apparatix does not post its software prices on its own site. You book a demo and get a quote. It does show two small rates: AI Sales Profiles average $0.70 each, plus a monthly fee per user. A partner page lists $35 to $50 per digital display a month, but it has no date. Ask Apparatix to confirm any number in writing.

  • Apparatix publishes no price for its core software. Every path on its site leads to a demo request.
  • AI Sales Profiles cost a monthly fee per user, plus about $0.70 a profile on average.
  • E-sign is priced per document, with no per-user fees and unlimited team members.
  • A Vantage LED page lists $35 and $50 per digital display a month. It has no date, so confirm it.
  • Ask for a written quote that names every module, add-on and fee.

Apparatix does not post its software prices on its own website. There is no pricing page and no free trial. You start with a demo, and a quote comes after. This page shows what Apparatix says about cost. It also covers a partner price list and how to ask for a quote.

How does Apparatix price its software?

Apparatix prices its core software on request. Its homepage sends every visitor to a demo form. Its demo page says your starting place is a demo. That demo can be a focused look at one tool, like the CRM or yield management. Or it can be a tour of the whole system.

The form asks for your name, email, phone number and company. It says nothing about plans or a quote.

Apparatix does post a few add-on fees. Here is what it says.

ItemHow it is pricedAmount (Oct. 12, 2026)
Core platformNot publishedOn request (book a demo)
AI Sales Profiles, accessMonthly fee per userNot published
AI Sales Profiles, usageA fee per profile, set by how complex it isAbout $0.70 on average; most under $1
E-signaturePer document, no per-user fees, unlimited team membersNot published

The profile rates come from the AI Sales Profiles page. The e-sign terms come from the 2025 review, dated December 15, 2025.

What drives the cost of Apparatix?

Apparatix does not say what sets the price of its core platform. Its pages give three clues about the add-ons.

  • Users. AI Sales Profiles charge a monthly fee for each user.
  • Usage. Each profile adds a fee that depends on how complex it is. A re-run adds another fee.
  • Documents. E-sign is priced per document, not per user.

The 2025 review also says why. Apparatix changed e-sign vendors because rising costs would have raised document fees by nearly 6 times.

Profile charges are added to your monthly software bill. You can see your usage in the CRM. There is no minimum. For large volume, you talk to your account rep.

Is there a public Apparatix price list?

Not from Apparatix. But one partner page lists tiers. Vantage LED, a display supplier, calls Apparatix a "Vantage LED Certified solution." Its page lists three tiers.

Tier (per Vantage LED)PriceWhat it adds
Standalone Digital CMS$35 per digital display a monthCloud access, scheduling and reporting, support for Adomni and Blip, a text and live data editor
Essentials$50 per digital display a month, plus an optional $3 per static board a monthSales, accounting, QuickBooks and other processes, plus static board management
Full SuiteCustomCRM, team management, analytics, customization and integrations

Read these numbers with care.

  • The page has no date. Its footer says 2022.
  • It is not Apparatix's own page. Apparatix's site does not show these tiers.
  • It lists no minimums, setup fees or contract length.
  • We found no second public source for these numbers.

So treat the table as a guide, not a quote. The price rises with each digital display, so count yours before the call.

What is included in the price?

Apparatix does not say what is in the base price. Its feature pages describe four areas: the CRM, yield management, AI Sales Profiles, and fulfillment and operations. None of them says if an area is in the base price or costs extra.

A few clues:

  • The CRM page says the CRM is for current Apparatix users only.
  • The yield page says Apparatix sets up your pricing rules with you before they go live.
  • AI Sales Profiles sit inside the CRM for current customers. Their usage fees go on your monthly bill.

We found no public word on setup fees, data loading, training or contract length. Renewal and cancellation terms are also missing.

How do you ask Apparatix for a quote?

  1. Fill in the demo form.
  2. Bring your numbers: static faces, digital faces, users and markets.
  3. Ask for a yearly price at those numbers.
  4. Ask the questions below.
  5. Get the quote in writing.

Ask these questions in the demo.

  • Which modules are in the base price? Is the CRM in it? Yield? Real estate? Fulfillment?
  • Is the price per user, per face, per display or flat?
  • What do AI Sales Profiles and e-sign cost at my volume?
  • What are the setup and data import fees? Who loads my faces?
  • How long is the contract? What happens at renewal?
  • How much can the price rise each year?
  • Can I get all my data out if I leave?

Is Apparatix worth a call?

It is a known name. Apparatix was the most-named tool in Billboard Insider's August 2026 reader poll, at 40%. The poll shows what readers use. It does not show what they pay. So get the quote, then compare it with the other tools. Our Apparatix review covers what the software does.
